License Management

Your profile page is the central hub for managing your ConDoc Tools subscription, licenses, and login credentials.

From here, you can view and manage your active subscription, control license usage across your team, adjust billing preferences, and download the latest version of ConDoc Tools. You can also update your profile photo, edit your account details, and change your password.

Your password is used to log in both on the website and inside SketchUp to activate the extension.

Subscription Details

The main table on your profile displays the key information about your subscription:

  • Product: Shows the type of subscription you have, such as Monthly or Annual.
  • Status: Indicates whether your subscription is active (Live).
  • Renewal Date: The next billing date.

License and Account Management

To the right of your subscription table, you’ll find tools for managing users, devices, and payment:

  • Licenses: Displays how many seats you have and how many are currently in use (e.g., 2 / 3).
  • Manage Licenses: View who is using your seats and on which devices. You can remove a user or uninvite a team member from your subscription at any time.

  • Invite User: Enter a team member’s email to share your ConDoc Tools subscription. They’ll receive a password reset email to create a ConDoc Tools account. Once set up, they can activate the extension in SketchUp just like the main account holder. Their license will live under your primary account, and you retain full control over their access.

In order to invite a user, you must have an available seat on your subscription. If all seats are currently assigned, you’ll need to add another license before sending the invitation. If no seats are available, the “Invite User” option will not appear.
  • Manage Activations: Each user is allowed two simultaneous device activations. Use this option to deactivate a device—ideal when replacing or reassigning hardware.
  • Update Payment: Change or update your credit card or billing information.
  • Cancel Subscription: Cancel your subscription any time—no questions asked.  Well, we do ask you to fill out a quick survey but you can easily skip that.
  • Add/Remove Licenses: Increase or reduce the number of seats on your subscription. When you add a license, you’ll be billed immediately a prorated amount so your billing cycle remains unchanged.
  • Change to Annual: Switch your monthly subscription to an annual billing cycle. This is a great way to save, and your next payment will reflect the updated billing term.

When you cancel, you will still have access to all learning content and tutorials if you'd like to return later. You're also free to keep and continue using the title blocks and LayOut assets that were installed with ConDoc Tools.

Quick Access Buttons

Below the subscription table, you’ll see three red buttons for quick navigation. When you’re just getting started with ConDoc Tools, these are the first three buttons you’ll want to use:

  • Download ConDoc Tools: Instantly download the latest version of the extension.
  • Installation Instructions: Follow step-by-step instructions to install ConDoc Tools in SketchUp. This will take you to the ConDoc Knowledge Base.
  • Start Learning: Go to the Learn page, where you’ll find the ConDoc Quick Start course and other tutorials to help you master the tools.

FAQ

The Invite User button is not showing. Why can’t I invite someone to my ConDoc Tools subscription?

If the Invite User button is not visible on your Profile > Subscription page, it usually means that all seats on your current subscription are already assigned. The ConDoc Tools account management system only shows the Invite User option when at least one license (seat) is available to assign.

Here’s what you can do:

  1. Check Your Subscription Details
    Look at the number of licenses you currently have and how many are in use. This is shown in the Subscription table on your Profile page.

  2. Add a License if Needed
    If all licenses are assigned, you’ll need to add another seat before the Invite User option becomes available.

    • Click Add/Remove Licenses

    • Increase your license count

    • Confirm the changes

    • You’ll be billed a prorated amount immediately to keep your billing cycle aligned

  3. Return to the Subscription Page
    After adding a license, refresh the page. The Invite User button should now appear on the right-hand side of your subscription table.

Alert
If you're part of a team and not the account owner, you will not see the Invite User option. Only the primary account holder can manage team access.

How do I transfer my license to a new computer?

To move ConDoc Tools to a new device:

  1. Log in to your profile at
    condoctools.com

  2. Click Manage Activations.

  3. Deactivate the old device.

  4. Install ConDoc Tools on the new device.

  5. Open SketchUp and log in to activate.

You can always be active on two devices simultaneously per user.

What happens when I cancel my subscription?

When you cancel:

  • Your subscription will remain active until the end of your billing cycle.

  • You will no longer be able to activate ConDoc Tools in SketchUp.

  • However, you can still log in to your profile, access all learning resources, and keep any templates or title blocks installed on your computer.

Can I remove a user from my subscription?

Yes. To remove a team member:

  1. Go to Manage Licenses in your profile.

  2. Find the user you'd like to remove.

  3. Click the “Remove” or “Unassign” option.

Once removed, that seat becomes available for a new user.

I didn’t receive an invite email—what should I do?

If your invited user didn’t receive the email:

  • Ask them to check their spam or junk folder.

  • Make sure the email address was entered correctly.

  • Try re-sending the invite.

  • If needed, they can also reset their password using the email you invited.

How do I change my billing frequency to annual?

On your profile page:

  1. Locate your subscription.

  2. Click the “Change to Annual” button.

This will switch your billing cycle and apply a discounted annual rate moving forward.

What’s the difference between managing licenses and managing activations?

 Great question:

  • Manage Licenses is where you assign or unassign users (seats).

  • Manage Activations is where you manage which machines those users are using.

Each user can activate on up to two computers. You can deactivate any device to free up an activation.

Can I share my ConDoc subscription with team members?

Yes! As long as you have available seats on your subscription:

  • Go to Manage Licenses and click Invite User.

  • Enter the team member’s email.

  • They’ll receive a password reset email and create their own login.

  • Their usage will count under your team license.

Note: If no seats are available, you must add another license first before inviting.

How do I update my payment method or billing info?

To update billing information:

  1. Go to your profile page.

  2. Click Update Payment Method.

  3. Enter your new card or billing details.

These changes take effect immediately for future invoices.

Why am I being charged after canceling?

Billing occurs at the start of your billing cycle. If you cancel after a renewal has processed, that charge still applies, but no further renewals will occur. You’ll retain access through the end of the paid period.

If you added or removed seats mid-cycle, you may see prorated charges for those changes as well.
